As part of the new GDPR additions to HQ we have introduced some new fields for people and businesses, these new fields are based on consent including data storage and marketing.
Data Storage Consent
The data storage consent field has been added to people and businesses under the GDPR tab when you edit a business, the field is in a date format which represents the date that you have consent to store your clients data from. If you do not have this field filled in, when you view the person or business card either in the history or the view people/businesses section you will see a small red warning icon in the top left of the card to indicate that you haven’t filled it in.
Optional Consent
As well as the data storage consent field there are three optional consent fields that can be added to the people and businesses in HQ.
In order to enable the optional consent fields you will need to have administrator privileges, to enable them go to Tools->Administration and then to GDPR->Settings.
As you can see from the image below there are three input fields that you can enter text in to which will act as the labels for the marketing fields. If you fill these in they will be enabled and if you leave them blank they will not. You can use all three or just one. Once you have entered the name for each one into the field click the save button to save these and enable them.
Once you have entered a label for the field they will appear on the person and business, very much like the data storage consent these will be date fields when in the person or business and you will fill in the date that you got consent for each particular one.
These consent fields will then be used when sending mass Emails and SMS to contacts through the categories section of HQ.
As you can see from the image below, each consent field will appear in a marketing filter list on the category page, if you have these ticked once you select a category only the people or businesses in that category that have the fields filled in will appear.
Filtering Options
- All ticked – this will show people and businesses that have all the optional fields filled in.
- One ticked – this will show people or businesses that have that one field filled in.
- 2/3 ticked – this will show people or businesses that have the two fields that are ticked filled in.
- None ticked – this will show all people or businesses in that category and ignore the filtering.
