HQ has the ability to store and retrieve any kind of file (Word, Excel and so on).
To View, Import or Retrieve files, go to View>Filestore on the menu.
The Filestore page will look similar to the following:
Each file in the Filestore is represented by a square icon with a small graphical label on its top-left corner representing its file type.
To view the files in a different order, choose from the options in the filter list. These are:
A-Z | Files are listed in alphabetical order of name |
Z-A | Files are listed in reverse alphabetical order of name |
Oldest First | Files are listed with the oldest to be imported into HQ at the top |
Most Recent | Files are listed with the most recently imported into HQ at the top |
Several function can be performed on files in the Filestore. These are:
Open a file | Click on the filename near the top of the file icon. This will start the application that created the file (if it is present on your machine). |
Email files | Click the checkbox at the bottom-right of every file you wish to email. The click the “Email” button. A email will be started with the checked files attached. |
Link files | Files can be linked to the record of any Person, Business and/or Job. Click the checkbox at the bottom-right of every file you wish to link and then click the “Links” button. Select the links in the usual way. |
Upload files | To add new files to the “Filestore”, click the Upload button and choose your files. |
Delete files | Click the checkbox at the bottom-right of every file you wish to delete, then click the “Delete” button. |
Change Description | By default files are given their filename as their description. To edit a files’s description, click the pencil icon on the file in question and add your own text. |
Search | Files are searched-for using the normal searching mechanism in HQ. To search for any word in a file’s description, simply enter that word in the main search bar and hit return. Files are given their own tab in the search page. |
